Gujarat Agentic AI Training: Procurement and Vendor Document Lab

Procurement teams lose time when quotations look comparable but describe different commercial assumptions. One vendor includes installation, another excludes it, and a third quotes a different unit. Agentic AI training in Gujarat can address this practical problem through a vendor-document lab. The aim is to prepare a comparison that a buyer can audit, identify missing evidence and draft questions. The workshop should retain purchasing authority with the organisation’s authorised team.

For a manufacturer, distributor or services company considering Digital Training Jet, this article provides a detailed scoping example. The vendors, figures and product descriptions below are fictional and provide a realistic practice pack for the programme.

Define the comparison before loading documents

Ask the procurement owner to specify what “comparable” means for the selected purchase. Useful fields include required specification, quantity, unit, delivery basis, installation scope, warranty wording and document date. Distinguish a commercial field from an eligibility requirement. A missing price can be clarified; a missing mandatory technical detail may prevent an evaluation. Teach this distinction before asking a model to recommend the cheapest vendor.

Preserve currency, quantity and unit

Do not compare per-unit and per-pack amounts directly

Do not infer installation is included

Choose an assistant for documents, then a workflow

An approved Claude or Gemini environment can be used for the extraction and drafting exercise. Google’s Workspace guidance describes Gemini assistance across enabled work apps. The training must still teach participants how to check extracted values against the supplied page. Connected automation is a later stage: the team first needs a stable document structure and an exception policy. A fast extraction with no traceable source is a weak foundation for an automated vendor process.

Where participants have the relevant Claude experience, a file-based task can combine document review and draft preparation. Cowork capabilities are being brought into Claude through a staged transition. Prepare the lab for the actual accounts in the room instead of promising a particular menu or assuming every learner has the same feature set.

Worked lab: three incompatible quotations

Create a purchase request for ten fictional air-handling inspection units. Vendor Cedar quotes ₹48,000 per unit with installation excluded. Vendor River quotes ₹5,30,000 for the complete lot including installation. Vendor Atlas quotes ₹46,500 per unit but uses a specification that does not match the purchase request. Add one expired quotation and one delivery statement saying “four weeks after approval” without defining which approval. Use this pack to practise extraction, comparison and missing-information follow-up.

Participants create the source table first. They may calculate Cedar’s base equipment total as ₹4,80,000, but must not treat that number as the installed cost. River’s stated lot amount includes a different scope. Atlas needs a specification clarification before it can be considered equivalent. The right workshop output is a comparison with unresolved fields and draft questions, rather than an unsupported recommendation to select Atlas because its unit price looks smaller.

Exact vendor comparison prompt

Act as a procurement documentation analyst. Review only the attached synthetic purchase request and three quotations. Extract stated values into a table with vendor, item, specification match, unit, quantity, equipment amount, included services, exclusions, delivery basis, validity and source page. Show any arithmetic separately. Do not invent tax rates, installation charges or missing specifications. Flag comparisons that are not like-for-like. Draft a clarification question for each gap. Do not recommend an award or send messages.

Validate arithmetic and document interpretation separately

Use a calculator or spreadsheet to verify the deterministic arithmetic. Then have a buyer review interpretation: whether two descriptions refer to the same item, whether a service is included, and whether the document version is usable. These are different checks and should be recorded in separate columns. If an assistant outputs an impressive total but has silently supplied an unknown charge, reject the comparison and revise the instructions.

Design the assessment with at least one unreadable field, one missing unit and one conflicting quote version. Learners pass when they identify the limitation and preserve the evidence. They should not be rewarded for filling every cell. A blank marked “not supplied” often protects decision quality better than a guessed value that makes the table look complete.

Practical tips for an organisational pilot

  • Start with one purchase category whose terminology the reviewer understands.

  • Keep a dated requirement sheet beside the quotations in the practice pack.

  • Use synthetic vendor names and remove account or bank details from training material.

  • Store the approved extraction template and prompt together.

  • Give the workflow owner a way to pause intake when document quality deteriorates.

Track extraction errors, missing fields found, reviewer corrections and the time required to create an acceptable comparison. Count the work of collecting documents and clarifying gaps. If the pilot simply shifts effort from buyers to reviewers, redesign the input checklist. A maintainable process needs an owner who updates the template when the purchase category or approval rules change.

Frequently asked questions

Can AI select a procurement vendor automatically?

This workshop is designed for documentation and comparison. Award decisions require your authorised evaluation process, including relevant technical, commercial and specialist reviews. An AI ranking should not replace missing evidence.

Is a quotation PDF enough for the lab?

It is useful when the text is readable, but the task also needs a requirement sheet and comparison rules. Scanned or ambiguous documents should trigger a manual check rather than a confident extraction.

What deliverables should a Gujarat procurement programme include?

Ask for a comparison template, synthetic quotation pack, clarification prompt, verification checklist, exception log and named maintenance owner. These make the session’s work usable after training.
